This Privacy Policy describes how information is collected, used, protected, retained, and handled when authorized users use the Electronic Client Record (ECR) mobile application.
The ECR App is a restricted-use application for authorized health department and family planning service providers only. It is not intended for public use.
The ECR App is used by authorized health department and family planning service providers to record family planning client services, follow-up visits, and contraceptive commodity consumption for official health programme reporting and logistics management.
The app does not provide public registration or in-app account creation. User accounts are created, approved, and managed through the authorized web-based administrative interface by designated programme/system administrators. Only authorized users with valid credentials can access the app.
The ECR App may collect and process the following information:
Information collected through the ECR App is used for:
ECR data is used for official health department, family planning programme, logistics reporting, monitoring, audit, and programme management purposes. Data may be shared with authorized government departments, programme administrators, and approved technical support teams only where required for official programme operations, reporting, troubleshooting, monitoring, or legal/audit compliance.
Reasonable technical and administrative safeguards are used to protect ECR data from unauthorized access, disclosure, alteration, or misuse. Access to the system is restricted to authorized users and designated administrators based on assigned roles and permissions.
ECR data is retained only for official health department, family planning programme, logistics reporting, monitoring, audit, and programme management purposes. Data is retained for as long as required by the relevant government programme, reporting requirements, audit requirements, or applicable law.
Authorized users may request correction, deactivation, or deletion of their user account/profile information by contacting their designated district/provincial administrator or the official ECR/cLMIS support channel.

The request should include the user's name, designation, facility/district, login ID or registered mobile number, and reason for the request.
Family planning client/service records entered through the ECR App are official health programme records used for service delivery, logistics reporting, monitoring, audit, and programme management. Such records may be retained where required by the relevant health department, programme rules, audit requirements, or applicable law. Where deletion is not permitted, records may be corrected, deactivated, restricted, or anonymized where appropriate.
This Privacy Policy may be updated from time to time. Updated versions will be posted on the official privacy policy page.
